Federal documents we authenticate & apostille

Issued by a U.S. federal agency? Only the U.S. Department of State can apostille it — no state office will do. Start with the four most common:

More federal documents we handle

Anything issued by a U.S. federal agency routes through the U.S. Department of State. If the destination country is outside the Hague Convention, embassy legalization follows — we handle both. Common examples:

Immigration & Citizenship

Certificate of Naturalization
NARA naturalization records

  • This service is amazing! I wish I had known about it sooner. I had a document to be used abroad that needed to be notarized AND needed an apostille. It’s not so hard to find a notary but for anything more complicated, Aziz can get it done with a minimum of effort on the client’s part. He picked up the document, handled the legalizations process and returned the document to me. And in less than 24 hours! The consulate, which was my only other option had a ridiculous wait time to even get an appointment,  not to mention they were going to charge me three times what Aziz did. His rates are reasonable and he is super-professional and efficient! He saved me so much time and navigated the whole process seamlessly for me.  I highly recommend him and will no doubt be calling on him again in the future.

  • I was impressed with this company from start to finish, and I will definitely go to them again when I need a notary.First, it was super easy to set up the three appointments that I needed; the receptionist was able to confirm the appointments while I was on the phone with her.  Second, the notary showed up right on time for all appointments, even in one city location during rush hour and where finding street parking was challenging.  Even when I needed to change the location of one appointment at the last minute (from a Starbucks that wasn't open yet to a nearby restaurant), it was easy to reach the notary himself and work out the change with him.  Third, the two notaries I dealt with were both professional in appearance and manner.  Finally, company can cover DC, MD, and VA where I do business, and their price is reasonable.I'm very grateful that the paperwork went smoothly and was done properly.  I'm a new fan of DC Mobile Notary.

  • Aziz of DC MOBILE Notary was incredibly patient, knowledgeable, friendly, and reliable with regard to services we needed to authenticate educational documents for use abroad.  I will no hesitate to utilize his services again. In today's world of everything automated and voice bots, Aziz was a breath of fresh air, answers calls and emails without delays and works on finding solutions for his clients. Thanks Aziz.

About DC Mobile Notary

Federal apostille questions, answered

What is a federal apostille?+

A federal apostille is authentication issued by the U.S. Department of State that certifies a U.S. federal document as genuine for use in Hague Convention countries. Documents from federal agencies — the FBI, NARA, USCIS, SSA, IRS, FDA, USDA, USPTO and others — can only be apostilled at the federal level, not by a state office.

How long does a federal apostille take?+

Our Expedited service is completed in 9 business days and is the recommended option for most clients. Standard service takes about 3 weeks. Final timelines are confirmed after our free document review.

Which service should I choose — Expedited or Standard?+

We recommend Expedited (9 business days) for nearly everyone — especially anyone with a deadline, a visa timeline, or a filing date. Standard (3 weeks) is a lower-cost option when your timeline is flexible. Both use the same U.S. Department of State authentication.

How do I send you my physical documents?+

Start by filling out the form so we can confirm your document is eligible. Then mail your documents to our Arlington office: DC Mobile Notary™, 5315 Langston Blvd, Suite B, Arlington, VA 22207. We recommend a trackable method like UPS or FedEx. We handle the federal authentication and return your apostilled documents to you.

Which federal documents can you apostille?+

FBI Identity History Summaries, NARA records (naturalization, immigration, Certificates of Arrival and Non-Existence), USCIS documents such as Certificates of Naturalization, SSA letters, IRS letters including Form 6166, FDA Certificates to Foreign Government, USDA export and health certificates, and USPTO patent and trademark documents. If your document isn't listed, upload it for a free pre-check and we'll confirm eligibility.

Can I get a state apostille for my FBI background check?+

We don't recommend it. FBI reports are federal documents and are most reliably authenticated through the U.S. Department of State. See our dedicated FBI background check apostille page for the full process.

What's the difference between a federal and a state apostille?+

The issuing authority determines where a document is apostilled. Documents issued by a state (birth certificates, state marriage records, notarized documents) are apostilled by that state. Documents issued by a federal agency are apostilled only by the U.S. Department of State. Sending a federal document to a state office — or the reverse — causes rejections and delays, which our free pre-check helps you avoid.

Do you also handle state-issued documents?+

Yes. Birth certificates, marriage records, diplomas and notarized documents are apostilled at the state level — a separate process we run every day alongside the federal one. See our apostille services hub, or run a free pre-check and we'll route your document correctly.

Do you serve clients outside the DC area?+

Yes. We provide federal apostille service nationwide. No matter where your document was issued or where you live, the federal authentication happens at the U.S. Department of State in Washington — and that's where we work every business day.

Do I need the original document for a federal apostille?+

For most federal documents, yes — the U.S. Department of State authenticates the original document or one bearing the issuing agency's official signature and seal. One key exception is the electronic FBI report (see below). Run a free pre-check and we'll confirm exactly what your document needs.

Can you apostille an electronic FBI background check PDF?+

Yes. The electronic FBI Identity History Summary PDF is accepted for federal apostille — you can simply email us the PDF, with no need to mail anything. This is one of our most requested services; see the FBI background check apostille page for details.

Does the destination country matter?+

Yes. If your document is going to a Hague Apostille Convention country, the U.S. Department of State apostille is the final step. If the destination is outside the Hague Convention — such as the UAE, Qatar, Kuwait, Vietnam, or Thailand — your document also needs embassy or consulate legalization after federal authentication. Tell us the destination country and we'll confirm the correct process.

Can you ship the completed apostille internationally?+

Yes. We ship completed apostilles to any address in the United States or worldwide by trackable courier. Just include the destination address in your order.

Can you add a certified translation?+

Yes. Note «Add Certified Translation» in your form message and we'll review your document and send a quote.
